Restoring Member Communication and Building a Secure Data Foundation
CommonWealth Central Credit Union partnered with Nook to deploy HubSpot as its member engagement platform after losing access to critical communication tools within its previous provider environment.
Challenge
CommonWealth Central needed to restore member communication capabilities under significant time constraints. The credit union's existing marketing platform was no longer available, limiting its ability to communicate with members through email campaigns and digital engagement programs.
Leadership faced two immediate objectives:
- Restore member communications as quickly as possible
- Implement a scalable CRM architecture capable of supporting long-term member engagement, automation, and reporting
Because member data resides across multiple systems, including core banking, loan origination, and digital banking platforms, the credit union also needed an architecture that could scale to support future personalization and automation goals while maintaining strong governance and data controls.
Solution
Nook implemented HubSpot using a phased deployment strategy designed to restore communications quickly while building the underlying data foundation in parallel.
Nook Data Connector
A purpose-built integration framework that operates within infrastructure owned or controlled by the credit union, with no third-party middleware. Data moves directly from operational systems into HubSpot.
Nook ID: Identity Resolution
A unified identity framework that links members, accounts, loans, and deposits to a persistent Nook ID, ensuring member identity remains consistent even as contact information changes.
Credit-Union-Specific Architecture
Our CRM architecture mirrors how credit unions operate, allowing HubSpot to connect marketing engagement directly with financial relationships.
Operational Efficiency
An intuitive, data driven model enables teams to automate data hygiene, create cross-team action triggers and automate journeys that enhance member experience.
Reliable Member Data
Nook ID ensures member identities remain consistent across marketing and operational workflows, enabling reliable reporting across engagement activity and financial relationships.
-
Consistent member identity model across all systems
-
Eliminates duplicate and incomplete records
-
Trusted data for segmentation and automation
Phase One: Communication Recovery
The initial deployment focused on restoring member communication capabilities. Nook configured the HubSpot portal, established campaign infrastructure, enabled email communications, and onboarded the marketing team, allowing member engagement activities to resume within three weeks of project kickoff.
Phase Two: CRM and Data Architecture
Following the launch, Nook implemented its standard credit-union architecture, including:
- Integration with Episys Symitar core data
- Member identity resolution through Nook ID
- Credit-union-specific data modeling
- Loan and deposit relationship structures
- Automated new member onboarding workflows
Credit-Union-Specific Data Architecture
To support Commonwealth Central's operational workflows, Nook implemented credit-union-specific objects including Loans and Deposits. Standard HubSpot objects were used for their intended purposes, including the Contact object for member records. This structure allows HubSpot to connect engagement activity directly with financial relationships.
Organization-Wide Adoption
HubSpot now functions as a member engagement and revenue operations platform across the entire credit union.

New Member Onboarding Automation
With the data architecture established, Nook implemented automated new member onboarding journeys designed to create a more connected and personalized early member experience. These workflows help welcome new members, introduce relevant products and services, and guide them through key next steps. As a result, new member activity now flows more seamlessly, helping the credit union strengthen relationships from the very beginning.
This phased approach enabled the credit union to address immediate operational needs without delaying long-term platform development.
When we evaluated engagement platforms, protecting our members’ data was a top priority. Nook’s model enables us to maintain control of sensitive data while leveraging HubSpot’s robust analytics and automation to elevate how we engage with our members and more."

Outcomes
Communication Capabilities Restored
The marketing team regained the ability to communicate with members through HubSpot three weeks after project kickoff, allowing the credit union to resume digital engagement activities while the broader platform build continued.
Unified Member Data Foundation
Member data from Symitar Epysis was standardized and connected within HubSpot, creating a consistent foundation for segmentation, reporting, and automation.
Improved Identity Management
Implementation of Nook ID established a persistent member identity framework, helping maintain accurate member records as contact information and account relationships change over time.
Credit-Union-Specific CRM Architecture
Custom loan and deposit objects were implemented alongside HubSpot's native data model, enabling engagement activity to be associated directly with member financial relationships.
Automated Member Onboarding
The credit union launched automated onboarding journeys designed to welcome new members, introduce relevant products and services, and create a more consistent onboarding experience.
Conclusion
By combining a rapid communication recovery strategy with a phased CRM configuration and data framework implementation, CommonWealth Central Credit Union restored critical member engagement capabilities while establishing a scalable platform for future growth.
The project demonstrates how credit unions can quickly address operational challenges without sacrificing the governance, data architecture, and system integrations required for long-term success.
